Beschreibung der Beschaffung
The collaboration system is requested as 'Software-as-a-Service' (SaaS). The system shall mainly be used to share and review documents and support all functions relevant to managing documents in an audit proof way. The functions include:
— information and document capturing, e.g. upload, bulk-upload, metadata management, formats, document management structure
— editing and collaboration, e.g. revisions/versioning, status tracking, document and event-based workflows, document-based collaboration, ticketing, document distribution,
— request and retrieval, e.g. search, browsing and navigation, indexing based on text extraction and OCR, export, reports and dashboards,
— administration and customizing, e.g. user/privileges management, taxonomy and metadata management, document and project templates, user interface customizations and webforms, workflow definition, notifications, rule-based processing
The system shall adhere to IT security, data protection, and compliance standards of the TenneT group, which are mainly derived from established industry standards.
The provisioning of the system is subject to defined service levels to guarantee high availability of documents and collaboration means for time-critical large projects.
Requested services include:
— preparation of a detailed Software-as-a-service and system requirements specification,
— implementation/installation of the system,
— testing,
— provision of systems and supporting tools for migration and transition,
— system specific technical and conceptual support for the migration of documents and data from the current collaboration systems
— maintenance and operation services,
— provision of licenses for all components of the Software-as-a-service (e.g. including database),
— cooperation with the application service provider tendered in lot 2.

The tenderer may apply for either lot or both. In case a tenderer offers for the combined lot (lot 3) it is obligatory to also bid for lot 1 or lot 2.
